Privacy policy

This page explains what personal information we collect, why, who we're required to share it with, and your rights. The full policy document (PDF) is the authoritative version. We handle personal information under the Privacy Act and the Australian Privacy Principles.

What we collect and why

We collect only the information we need to do our job. Most of it is collected on the enrolment form, to enrol and train you and to meet our legal obligations as a registered training organisation: identity and contact details, your Unique Student Identifier (USI), the background information government VET reporting requires, and records of your training and assessment. For subsidised students we also collect the eligibility evidence the funding program requires. The enrolment form tells you what each piece of information is for.

Sensitive information (such as health information, information about racial or ethnic background, or a criminal record) is only collected with your consent.

Sharing required by law, in plain English

Because we're a registered training organisation, some sharing isn't optional. Information from your enrolment may be used, for administrative, regulatory and research purposes, by:

  • The national VET data collection. As an RTO we must submit enrolment data to the national VET administrative collection, and it may be used for research, statistics and program administration. You may be contacted for training surveys; taking part is your choice.
  • Queensland funding programs. Where your training is government subsidised, enrolment and eligibility details are submitted to the Department of Trade, Employment and Training as the funding arrangements require.
  • Your school, if you're a secondary student doing VET, including a school-based apprenticeship or traineeship.
  • Your employer, if your training is paid for by your employer.
  • Government departments, authorised agencies and researchers.

Beyond that, we don't use or disclose your information for other purposes unless you consent, the law authorises it, or it's necessary in serious or life-threatening circumstances.

Your USI is handled under the Student Identifiers Act 2014: we verify it, never publish it, and use it only as the Act allows. Government identifiers like Medicare or tax file numbers are used only for the purpose they were issued.

How we protect it

We take reasonable steps to keep your information accurate, complete and up to date, and to protect it from misuse, loss and unauthorised access, using physical, electronic and administrative safeguards, with staff trained in handling student information. The same protections apply if information is ever transferred outside Australia. Wherever possible, you can deal with us anonymously.

What we don't do

We don't sell your information and we don't hand your details to marketers. Testimonials and photos are published only with your signed consent, and you can withdraw that consent at any time.

Your rights

You can ask what we hold about you, request a copy, ask us to correct anything inaccurate or out of date, and complain if you think we've mishandled your information. Privacy complaints follow our complaints and appeals process, with the outcome given to you in writing. The Office of the Australian Information Commissioner (oaic.gov.au) is the independent regulator.
